Anna Gresty has BPSS UK Government (Baseline Personnel Security Standard) clearance, along with a number of our transcribers. The BPSS check is the default employee screening standard used for anyone working within or on behalf of a government department and is basic entry-level standard that organisations are expected to meet – it tends to be a requirement for government contractors. UK Based Transcribers
The transcription is undertaken by UK-based transcribers, who are either graduates & academics, or experienced legal, medical and business secretaries. All are native English speakers. At present the company has 110 transcribers together with a secondary bank of secretaries to use for particularly large or urgent orders. We are able to take on a significant amount of work as a result and our capacity is limitless.
UK Based Servers
Our clients are very security-conscious, and we handle extremely sensitive recordings that require military grade levels of IT security. We have UK based servers for uploading digital files to. This complies with the GDPR Regulations and ensures that your data handling fits within the data protection and security policies of most UK academic institutions, including the Cyber Essentials protocols. Your data will not leave the UK from the moment you upload your audio file through to receiving the completed transcription. Our EU clients can use our services via our Ireland office.
Upload Digital Files via our SSL Secure Server
You can send digital transcriptions to us by either uploading them online using our own SSL secure system, www.wetransfer.com, One Drive, Google Drive or Dropbox. We provide all our transcripts by email return via Egress encrypted email and password protected in Microsoft Word format, although we can return transcriptions in other file formats, or on a memory stick. Full encryption and/or password protection is available on all completed files. We can also convert to other formats as required, including Rich Text Format and regularly work with NVivo.
Insurance
We carry Professional Indemnity Insurance to £5 million, Public Liability Insurance to £5 million and Employers Liability Insurance to £10 million.
Specialist Transcription Software
Our transcribers use Express Scribe software, an NCH package (www.nch.com.au) from Australia, which is compatible with just about every digital audio and video format available.
Transcription in over 200 Languages
We can provide transcription in over 200 languages (eg French to French, or Brazilian Portuguese to Brazilian Portuguese), as well as provide translation services (eg Arabic to English). Regional dialects catered for. We ensure that we comply with the Code of Professional Conduct of the Institute of Translation & Interpreting. We work with interpreters and translators who abide by the National Register of Public Service Interpreters (NRPSI) Code of Conduct.
Range of Transcription Levels
We can work on a variety of different levels, from the basic transcription (edited for irrelevant content) through to Jefferson transcription (analysis of conversation in depth). Click here for a full explanation with audio examples.
Smooth Transcription Process
We receive the transcriptions, send straight through to our transcribers, who then return the completed transcriptions to us as and when they are completed. We normally assign the work as soon as we receive it, which means that you can start receiving work back within a few hours of sending them to us. If we have particular difficulties with the quality of recordings, another transcriber will immediately be put on standby to take receipt of part of the recording to ensure we have enough time to complete the assignment. Our transcribers often work through weekends to complete for deadlines.
Quick Turnaround Times
Most work is returned within 5 days even when we have quoted a rate for our standard turnaround times (10-14 working days). Large bulk orders can take longer. We also offer an express transcription service – same day or 48 hours – for a higher price.
Thorough Checks on Transcribers
We use an application form, a transcription test and continuous quality assessments to ensure consistency in our transcriptions. During peak periods or staff shortages (normally during the summer months and around Christmas) we use transcribers from our supplementary list to assist.
Confidentiality Undertakings Available
We are happy to sign undertakings confirming that the information is kept strictly confidential. Most of our transcribers are either former legal and medical secretaries with experience in dealing with highly confidential matters (we regularly undertake work for solicitors firms dealing with criminal and child care proceedings) or from an academic background. We have dealt with a range of sensitive recordings in the past including high profile criminal proceedings and investigations.
Accreditations
We have an ISO9001:2015 compliant Quality Management System, an approved compliant ISO27001:2017 Information Security Management System and we operate a compliant ISO14001:2015 Environmental Management System. We are Cyber Essentials and Cyber Essentials Plus accredited, an accredited Bloom Supplier for the UK public sector, IASME GDPR accredited (Cyber Assurance Level 1) and a registered data controller with the UK Information Commissioner. Our transcription manager has passed the HIPAA Awareness course and we strive to be HIPAA compliant (HIPAA is the US Health Insurance Portability and Accountability Act and relates to patient data and confidentiality). We are corporate members of the Transcription Society. We have completed the NHS Data Security and Protection Toolkit assessment. Our transcription manager and some of our transcribers hold BPSS UK Government (Baseline Personnel Security Standard) clearance. We have transcribers with the AMSPAR L3 Medical Terminology qualification and Jefferson transcription training from Loughborough University.
